Outspoken Training LLP is a limited liability partnership registered in England and Wales (Registered Address: The Bike Depot, 140 Cowley Road, Cambridge, CB4 0DL). For the purpose of applicable data protection legislation (including UK GDPR and the Data Protection Act 2018), we act as the Data Controller.

We are committed to protecting and preserving the privacy of our website visitors, course participants, parents/guardians, and clients. Participant & Training Information: When a parent/guardian, individual, or booking organization completes a registration or consent form (online or paper), we collect participant information including name, hosting organization/school, age or year group, ethnicity (for monitoring purposes), outcome of training, and any relevant medical conditions or Special Educational Needs (SEN) provided to ensure safety during practical training.
Website & Automated Information: For each visit to our website, we may automatically collect technical information (including a truncated/anonymised version of your IP address, browser type, operating system) and visit information (pages viewed, length of visit).

For Our Legitimate Interests:

- To keep our operations and platforms safe and secure.

4. Disclosure of Your Information

We do not sell your personal data. We may share your information with selected third parties including:

Participating Schools: We share completed course registers (containing pupil names and relevant operational safety notes) back with your child’s school solely for attendance verification, safeguarding, and on-site duty of care.
The Bikeability Trust (Data Processor): When you participate in or register for Bikeability training, we share participant personal data (including names, contact details, training outcomes, and relevant health or support needs) with The Bikeability Trust. The Trust processes this data on our behalf to record training outcomes, issue certification, manage national course administration, and satisfy grant funding compliance.
Participating Schools & Client Organisations: We share course registers (containing participant names and relevant operational safety notes) back with the hosting school, council, or client organisation solely for attendance verification, safeguarding, and on-site duty of care.
Funding Partners & Local Authorities: We share non-identifiable summary data (e.g., aggregate participation counts and pass rates) with local authorities and funding bodies for statistical, reporting, and auditing purposes.
Service Providers: Trusted third-party IT, database, and system administration providers (e.g., website hosting, secure database management, and email services).
Analytics Providers: We use Google Analytics on our website to help us improve user experience. This data is collected anonymously.
Legal Requirements: If we are under a duty to disclose your data to comply with any legal, regulatory, or court obligation.

5. Where We Store Your Personal Data

The data we collect from you may be transferred to, and stored at, a destination outside the UK (for example, if our cloud service providers use secure servers based in the US or Europe). We ensure that any such transfers are protected by appropriate safeguards, such as Standard Contractual Clauses approved by the UK government.

Participant Consent & Health/Medical Notes: Retained only for as long as necessary to safely deliver the training, process course completion records, and handle immediate follow-ups. Operational medical notes held directly by Outspoken Training are securely deleted within 90 days following training completion. Data shared with The Bikeability Trust is retained within their digital platform in accordance with statutory reporting and audit obligations.
Financial & Contract Records: Retained for up to 6 years in accordance with UK legal, accounting, and tax requirements.

7. Your Rights

Under UK Data Protection law, you have the following rights:

Access: The right to request a copy of the personal data we hold about you or your child.
Correction: The right to have inaccurate data corrected.
Erasure: The right to request that we delete your data (the “right to be forgotten”).
Withdrawal of Consent: Where we rely on consent (including consent for health/medical data), you can withdraw it at any time.
